Privacy Policy
Plain-language summary: We collect contact information when you request early access or run the free feasibility check. We use it to follow up on your request and, with your consent, to send updates about the product. We don't sell your data. We don't run ads. We keep what we need, no longer than we need it.
1. Who we are
BEV Ready is an independent fleet-electrification consultancy. We operate www.bev-ready.com (the landing site), app.bev-ready.com (the fleet feasibility tool), and the Depot Digital Twin application (collectively, the "Services"). Our contact address is info@bev-ready.com.
Where applicable, BEV Ready is the "controller" of your personal information as that term is used under applicable privacy laws, including Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and relevant provincial privacy legislation.
2. What we collect and why
We only collect information that is necessary for the purposes described below.

We do not collect sensitive personal information (health, financial account numbers, government identifiers, etc.) and we do not knowingly collect information from anyone under the age of 16.
3. How we use your information
- To respond to your request and deliver the product or service you asked for.
- To send you product updates, access notifications, and relevant communications — only where you have given us consent, and only until you withdraw it.
- To improve and debug the Services based on aggregated usage patterns.
- To detect and prevent fraud, abuse, or security incidents.
- To comply with legal obligations.
We do not use your information for automated decision-making that produces legal or similarly significant effects, we do not build behavioural advertising profiles, and we do not sell or rent your personal information to third parties.
4. Who we share it with
We share personal information only where necessary:
- Service providers. We use third-party services to host, store, and operate the Services (e.g., cloud infrastructure, email delivery, authentication). These providers act on our instructions and are bound by appropriate data-processing terms. We will update this section with specific providers as the product matures.
- Legal requirements. We may disclose information if required by law, court order, or to protect the rights, property, or safety of BEV Ready, our users, or the public.
- Business transfers. If BEV Ready is acquired or merges with another entity, your information may be transferred as part of that transaction. We will notify affected users in advance.
We do not share personal information with advertisers. BEV Ready products are ad-free.
5. Where your data is stored
Our Services are hosted on infrastructure located primarily in [jurisdiction — e.g. Canada / United States — confirm with your hosting provider]. If your information is transferred outside your country of residence, we take steps to ensure it receives equivalent protection under applicable law.

6. How long we keep it
- Early-access contacts: for as long as you are on the waitlist or actively receiving communications, plus a reasonable period after unsubscription to suppress re-contact.
- Feasibility assessment results: for as long as needed to deliver and follow up on your results, or until you ask us to delete them.
- Depot Digital Twin account data: for the life of your account, plus a short retention window after account deletion to allow recovery, then permanently deleted.
- Server logs: typically 30–90 days, unless required longer for security or legal reasons.
7. Your rights
Depending on where you are located, you may have rights including:
- Access — request a copy of the personal information we hold about you.
- Correction — ask us to correct inaccurate or incomplete information.
- Deletion — ask us to delete your personal information, subject to legal retention obligations.
- Withdrawal of consent — withdraw consent to marketing communications at any time (via the unsubscribe link in any email, or by contacting us directly). Withdrawal does not affect lawfulness of processing before withdrawal.
- Portability — receive your data in a structured, machine-readable format where technically feasible.
- Complaint — lodge a complaint with your relevant privacy supervisory authority. In Canada, this is the Office of the Privacy Commissioner of Canada.

8. Cookies and tracking
The Services use only functional, first-party storage (browser localStorage / platform storage APIs) to save your session state, assessment progress, and depot models. We do not use third-party advertising cookies, cross-site tracking pixels, or behavioural analytics platforms at this time.
If we introduce third-party cookies or tracking in the future, we will update this policy and display a consent notice before setting any non-essential cookies.
9. Security
We use standard technical measures to protect personal information — including encrypted connections (TLS), access controls, and role-based permissions. No system is perfectly secure; if you believe your information has been compromised, contact us immediately at info@bev-ready.com.
10. Children
The Services are intended for professionals and are not directed at anyone under 16. We do not knowingly collect personal information from minors. If we learn we have done so, we will delete it promptly.
11. Changes to this policy
We may update this policy as the product evolves. When we make material changes, we will post the updated policy with a new effective date and, where we hold your contact information, notify you by email. Continued use of the Services after the effective date constitutes acceptance of the updated policy.
